Job Purpose

To assist with the general day-to-day running of the Divisional office, supporting the MD, office colleagues and site colleagues with all required tasks. Cover all aspects of administration including preparing the site set-up administration works for the current and new developments within the Division. Based at our Warrington office.

Key Responsibilities

  • Diary management for the Division - annual leave, training, sickness and site cover.
  • Setting up of meeting rooms.
  • Keeping up-to-date with Group Instruction folders.
  • Ordering stationery, PPE and general supplies for both the office and sites.
  • Setting up new starters – induction packs, etc.
  • Assisting with any administration for the MD and other Divisional colleagues.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Liaising with suppliers.
  • Responsible for sourcing and organising all Divisional training requirements, updating company training matrix, updating and issuing certificates, and tracking expiration dates.
  • Organising, arranging and monitoring NVQ training.
  • Processing supplier and consultant invoices on Eque2 and liaising directly with Group Accounts Dept.
  • Processing purchase orders on Eque2 and liaising directly with suppliers.
  • Arranging for new suppliers / sub-contractors / consultants to be set up on the system and liaising directly with them.
  • Preparing Land Authorisation Packs for Group.
  • Keeping Company Policies & Procedures updated.
  • Divisional monthly expenses and mileage forms.
  • Tracking and checking delivery notes.
  • Answering the telephones, taking messages, following up on enquiries and correspondence.
  • Post, filing, scanning and uploading relevant documents onto the shared drive.
  • Liaising directly with IT Dept regarding any office requirements.
  • Assisting with hotel reservations / travel requirements, etc.
  • Liaising directly with Group to ensure information is kept up-to-date.
  • General day-to-day running of the office environment.
Skills, Knowledge, Qualifications & Experience: Desirable

 

Essential:
  • GCSE Grade A-C in English & Maths
  • At least two years' experience working in an administration role
  • Experience working in an office environment
  • Advanced knowledge of Microsoft Office, including Word, Excel, Outlook and PowerPoint
  • Excellent organisational skills, able to prioritise and work to deadlines under pressure

Job Purpose

You will efficiently support in all areas of the house building process. You will support in managing quality standards that align directly to our Customer’s expectations.

The Assistant Site Manager will assist the Site Manager to ensure health and safety on site, material supplies are available, manage both direct employees and subcontractors, make sure risk assessments are completed and most importantly assist in the project management of the build process from the ground up to each plot of site.

Key Responsibilities

  • Organisation and Control of labour and sub-contractors
  • Completion of weekly planning sheets to ensure the overall build programme is met.
  • Provide direction to individual contractors and contractor’s management to ensure quality standards are met.
  • Resolve any conflicts that may occur between operations.
  • Co-ordinate with the Site Manager to ensure the availability of materials to meet the construction programme.
Health and Safety
  • Undertake a site safety induction for all new site personnel.
  • Ensure all site personnel comply with the Construction Health and Safety Regulations 1974 as amended together with the Duchy Homes Health and Safety Procedures Manual.
  • Completion of all statutory forms on a weekly basis.
  • Carry out frequent inspection of all operations to ensure they are carried out in a safe manner.
  • Ensure all operatives are working to the method statements and risk assessments submitted by the relevant sub-contractors or Duchy Homes management.
  • Comply with the site-specific environmental action plan requirements.
Sales
  • Liaise on a weekly basis with the Sales Executive regarding customer options and variations.
  • Liaise with the Sales Executive, Buying Department and sub-contractors regarding the supply and installation of customer choices.
  • Co-ordinate with the Sales Executive to ensure effective resolution of any identified customer issues.
Site Inspection
  • Plan and arrange visits of National House Builders Council inspection to carry out stage inspections.
  • Accompany inspectors during the course of their visits.
Customer Care
  • Assist the site manager in completion of the Duchy Homes Quality Assessment and sign off procedures.
  • Assist with the introducing the Customer to their new home and undertake their Home Demonstration, ensuring that any defects are identified and quickly resolved.
  • Ensure that at legal completion, the house is defect free, clean and ready for occupation, inclusive of all items identified at QA.
  • Assist the Site Manager and Customer Service Manager where required, by undertaking regular visits to customers post legal completion to ensure the Customer’s satisfaction with their new home.
  • Assist the Site Manager and Customer Service Manager to resolve any concerns or defects identified by the Customer.
  • Assist the Site Manager where applicable during the Customer Journey
Quality Control
  • Assist the Site Manager in the management of the quality of work carried out by the sub-contractors and materials supplied by the manufacturers.
  • Undertake regular inspection of each property during each stage of the build process and complete “snagging lists”.
  • Issue defect sheets to relevant trades.
  • Ensure all contractors work to issued drawings, company specification and trade conditions/scope of works.
Site Presentation
  • Assist the Site Manager in applying the highest standard
Control of Work
  • Ensure that requisite waste disposal skips and tip skips are available.
  • Ensure that sub-contractors and direct labour separate waste in accordance with Company procedures.
Skills, Knowledge, Qualifications & Experience: Desirable

Key Responsibilities

  • Develop and manage Business Systems and provide architectural and technical inputs to the project

  • Collaborate with existing teams and the Training Department to effectively deliver projects and support
  • Review efficiency of existing systems to influence future innovation
